Behind the Scenes: A Wedding Assistant’s Day at the Villa
This wedding was all about old money elegance — a timeless black and white theme that blended sophistication with understated charm. Every detail reflected a sense of crafted simplicity and elevated style.
The day started early. Around 9 a.m. we headed toward the venue to meet the bride and her bridesmaids.
A day earlier, I had already visited the villa with the wedding photographer (@gutierrezvisuals) to explore the best photo spots — from the soft-lit corners of the amphitheatre to the terrace overlooking the hills. It helped us create a clear plan for the wedding day, ensuring a seamless and effortless flow between the décor setup and the couple’s portraits.
We arrived at the villa around 10 a.m., carrying our decorations inside before checking in with the bridal party. Everything was running smoothly - hair and makeup were perfectly on schedule, and the morning atmosphere felt calm and joyful.
Before the to-do list began, I worked closely with the photographer to capture flatlay shots of the veil, wedding shoes, perfume, jewelry, and accessories, along with beautiful shots of the wedding dress and the bride’s second dress.. Together, we styled them beautifully and captured the small details that make a wedding day so personal. Then I took a few heartful moments on my iPhone of the bridal party before we moved on to our to-do list.
Our first task was setting up the welcome area, a space designed to feel warm and personal. We placed the welcome sign and a table styled with glass jars of cigars, cutters, a lighter, and wedding magazines - small touches for guests to enjoy with their drinks before the ceremony. A second table held a mailbox for gifts, a guest audiobook, and a guestbook, all arranged to create a seamless and inviting flow as guests arrived.
Once the setup was complete, we waited for the catering and florist teams to arrive so we could move on to the ceremony area. They handled the chairs, flowers, and aisle mat, while I focused on the details - adding confetti envelopes and fans for guests to ensure everything felt tailored and complete.
When the tables were set in the dinner area, I began organizing the layout. My job was to place the menu cards correctly, check the seating plan, and make sure every guest was seated at the right table. I added table numbers and placed the couple’s welcome shots at each setting. Just before entering the dinner area, we positioned the seating plan signage to make finding seats effortless for everyone. Flowers and candles were handled beautifully by our florist, bringing the space together in an elevated way.
Once everything looked perfect, I began capturing wedding content for Bossa Bridal Stories - documenting the atmosphere, décor, and all the joyful moments throughout the day. As the evening unfolded, we continued assisting where needed - moving flowers, adjusting details, and making sure every moment was unforgettable.
The celebration carried on late into the night, but our work wrapped up around 10 p.m. - a long, beautiful, and dedicated day, filled with laughter, love, and seamless coordination.
